MagicFor Inc. (“we”) sets out below how we handle user information, including personal information, in providing coepy (the “Service”). This document is the Privacy Policy (the “Policy”).

1Information we collect

  1. Account information

    We collect the email address you register, account identifiers, the date and time of registration, account status and similar information.

  2. Information provided by another service when you allow the Service to connect to it

    If you allow the Service to connect to a social networking service or another external service, we collect the following from that service, based on what you agreed to when granting permission.

    • The ID you use on that external service
    • Other information you have allowed that service to disclose to connected services through its privacy settings
  3. Uploaded and entered information

    We collect the video, still images, audio and text you upload, what you do in coepy, file names, metadata and other information you enter into the Service.

    This material may contain personal information of third parties appearing in the video or audio, not only your own. When you upload information about a third party, you must have secured the rights necessary to handle it.

  4. Voice-related information

    When you use the personal voice feature, we may collect or generate recordings of your voice, audio files, features extracted from the audio, speaker embeddings, voice models, parameters used to generate speech, and information about the generated audio.

  5. Generated information

    We collect the synthesized audio and finished video that are produced, processing history, identifiers of the voice models used, generation timestamps and other information about the generation process.

  6. Payment information

    We collect information about the payment methods you use in coepy, such as credit card, bank account and electronic money details.

  7. Device, network and log information

    We collect IP addresses, cookies, ADID, IDFA and other identifiers, access timestamps, browser type, OS, device type, language settings, referrer, session ID, error information, sign-in history, number of generations, feature usage history, security events and other logs produced while using the Service.

  8. Inquiries and rights claims

    When we receive an inquiry, a claim of rights infringement or an objection from a user or a third party, we collect the name, contact details, content of the claim, supporting evidence and the record of our handling.

2Purposes of use

We use the information we collect for the following purposes.

  1. Accepting registration for the Service, verifying and authenticating users, recording user settings, and reviewing the content and files users upload

  2. Providing, maintaining, protecting and improving the Service, including calculating and settling usage fees

  3. Editing, storing, combining with audio, and outputting the content created in the Service

  4. Delivering and displaying advertising and measuring its effect

  5. Building voice models for individual users, generating speech, generating speech for the user themselves, and managing those models

  6. Security, prevention of misuse, incident investigation and support

  7. Handling disputes and rights infringements

  8. Analysing usage and improving quality in a form that does not identify individuals

3Key policy on AI training

We may use the voice, video, images, entered text or generated content you provide to coepy as training data for general-purpose AI and voice models used by other users.

4Legal basis and consent

  1. Under the Act on the Protection of Personal Information, we specify our purposes of use, notify or publish them, and handle information within the scope necessary to achieve those purposes.

  2. Where Japanese law requires the individual's consent, such as for provision to a third party or for certain transfers to third parties abroad, we obtain that consent unless an exception under the law applies.

  3. Where we transfer information to a third party abroad on the basis of consent, we provide the information required by the Act about the destination country, that country's regime and the protective measures taken by the recipient.

5Outsourcing and provision to third parties

  1. To the extent necessary to operate the Service, we may entrust the handling of personal data to cloud and storage providers, content delivery providers, speech synthesis and machine learning platform providers, email delivery providers, security providers, monitoring and log analysis providers, customer support providers, and legal, accounting and other professional advisers.

  2. We do not provide personal data to third parties without the individual's consent, except where required by law, where permitted by law to protect life, body or property, in connection with a business succession, for lawful joint use, or where otherwise permitted under the Act on the Protection of Personal Information.

6Retention period

We delete the information we have collected promptly once it no longer needs to be stored or managed.

7Cookies and similar technologies

We may use cookies, local storage and similar technologies to keep you signed in, for security, to prevent misuse, to save settings, to analyse usage and to deliver advertising.

8Security measures

  1. We take organisational, personnel, physical and technical security measures to prevent the leakage, loss, damage or misuse of personal data.

  2. Specifically, we minimise access rights, require multi-factor authentication for administrator accounts, encrypt data in transit and at rest, keep secrets separated, maintain audit logs, manage vulnerabilities, take backups, follow incident response procedures, review our contractors, and promptly disable accounts of people who leave.

9Requests for disclosure and related rights

  1. When a user requests, under the Act on the Protection of Personal Information, notification of the purpose of use of retained personal data, disclosure of retained personal data or of records of provision to third parties, correction, addition or deletion of retained personal data, or suspension of use, erasure or suspension of provision to third parties (together, a “request for disclosure and related rights”), we confirm that the request comes from the user themselves and respond without delay in accordance with our prescribed procedure.

  2. For notification of the purpose of use and for disclosure of retained personal data or of records of provision to third parties, a fee of 1,000 yen (excluding consumption tax) per request applies.

10Opting out

  1. If optional marketing email is introduced, you can stop it at any time using the unsubscribe function in each message.

  2. Messages essential to providing the Service, such as authentication email, security notices, notices of changes to the terms and correspondence about rights infringement, may fall outside unsubscribing because they are necessary to maintain your account.

11Automated processing and content assessment

  1. We may in future use automated systems to detect misuse, malware, rights infringement, prohibited content and similar issues.

  2. For serious account suspensions or content removals we provide an objection procedure through which human review can be requested where possible, except in cases such as child protection, manifest illegality or urgent security measures.

12Changes to this Policy

  1. We may change this Policy in response to changes in the law, in the Service or in how data is handled.

  2. Where a change requires user consent under the law, the amended Policy applies only to users who have consented to the change by the method we prescribe. When we change this Policy, we will announce the effective date and content of the amended Policy on our website or notify users by another appropriate method.
